Definitions

      1. Overall and final responsibility for data protection lies with the EAGG committee, who are responsible for overseeing activities and ensuring this policy is upheld.
      2. All committee members are responsible for observing this policy, and related procedures, in all areas of their work for the group.

Overall policy statement

    1. EAGG needs to keep personal data about its committee, members, volunteers and supporters in order to carry out group activities.
    2. We will collect, store, use, amend, share, destroy or delete personal data only in ways which protect people’s privacy and comply with the UK General Data Protection Regulation (GDPR) and other relevant legislation.
    3. We will only collect, store and use the minimum amount of data that we need for clear purposes, and will not collect, store or use data we do not need.
    4. We will only collect, store and use data for:
      • purposes for which the individual has given explicit consent, or
      • purposes that are in our our group’s legitimate interests, or
      • to comply with legal obligations.
    5. We will provide individuals with details of the data we have about them when requested by the relevant individual.
    6. We will delete data if requested by the relevant individual, unless we need to keep it for legal reasons.
    7. We will try to keep personal data up-to-date and accurate.
    8. We will store personal data securely.
    9. We will keep clear records of the purposes of collecting and holding specific data, to ensure it is only used for these purposes.
    10. We will not share personal data with third parties without the explicit consent of the relevant individual, unless legally required to do so.
    11. We will endeavour not to have data breaches. In the event of a data breach, we will endeavour to rectify the breach by getting any lost or shared data back. We will evaluate our processes and understand how to avoid it happening again. Serious data breaches which may risk someone’s personal rights or freedoms will be reported to the Information Commissioner’s Office within 72 hours, and to the individual concerned.
    12. To uphold this policy, we will maintain a set of data protection procedures for our committee and volunteers to follow.

Privacy Policy

The East Anglian Garden Group will only retain personal information and details that are provided by yourself during the processing of any transaction or whilst contacting us via the website forms.  

You may also sign up and give consent to receive regular updates and newsletters in which case, your details will be recorded by the East Anglian Garden Group solely for that purpose and will not be passed on to any third party.

We collect and hold information only so that we can deal with enquires and bookings and occasionally relevant marketing. We do not share your information with any 3rd party and our website is secured with HTTPS.

  • Become a member
    If you become a member we collect your name, email address and preferences and will email you information about upcoming events and meetings and about your yearly subscription with us. You may unsubscribe from our newsletter either via the link at the bottom of the email or contacting us on contact@eagg.info.

  • Contacting us by email or telephone
    If you contact us by email or telephone we will keep your details so that we can best deal with your enquiry. We will use this to contact and have ongoing correspondence with you and may occasionally email you about our business in the form of an e-newsletter from which you can unsubscribe either via the link at the bottom of the email or contacting us on contact@eagg.info.

  • Paying for Membership and events
    We collect your contact and billing address and payment information to process your order and collect the monies.

    • We hold your contact details. We use this to fulfil our agreement with you and have ongoing correspondence where necessary and may occasionally email you about our work in the form of an e-newsletter from which you can unsubscribe either via the link at the bottom of the email or contacting us on contact@eagg.info.

    • We do not hold your payment details. All payment information is encrypted for the payment purpose and we then do not hold any ‘user accounts’, credit or debit card information. This information is processed by Stripe or Paypal.

  • Third party integration Our website uses third party services to help us manage and promote our website. Our analytics are provided by Google Analytics and Squarespace and contain anonymous data, our mail-list is managed by Squarespace containing names and email addresses and our enquiries are manged by email. Please click the links to see the privacy policies of these services.
